Commercial Window Treatments for Hotels: Specifying by Zone, Not by Product
Short answer: hotels fail at window treatments when they specify one product for the whole building. A guest room is a sleep product with a blackout requirement and a guest who will operate it in the dark. A lobby is a glare and heat problem with a design brief. Back-of-house is a washability problem. These are three different specifications, and the only things they genuinely share are fire compliance and the housekeeping trolley. Specify by zone, standardise the hardware across zones where you can, and judge cost per room over the refurbishment cycle rather than per square metre.
### Zone 1: Guest rooms
The guest room is the only zone where the window treatment directly generates reviews. Two guests in a hundred will comment on lobby shades; a room that is bright at 05:30 in June produces complaints all summer.
Blackout is a system, not a fabric. A blackout roller inside the reveal leaks at both sides, at the top around the roll, and under the bottom bar. For a guest room the specification that actually delivers darkness is blackout fabric plus side channels plus a closed cassette headbox — or a generously overlapped outside mount where the reveal allows. Specifying "blackout roller blind" and expecting a dark room is the single most common hospitality mistake.
The blind-plus-sheer combination is the hospitality standard: a sheer or dim-out layer for daytime privacy with a view, and a blackout layer for sleeping. Detail the two together — a blackout curtain in front of a leaking blind still shows light lines at the top and sides.
Operation must survive a jet-lagged guest in the dark. Wand or cordless operation, obvious direction of travel, nothing that can be pulled off its brackets. If motorised, there must be an intuitive wall control at the bedside, and a documented manual override — a guest who cannot close the blind at 22:00 calls reception, and that call costs more than the motor.
Child safety applies here too. Guest rooms host families; corded products create exposure that no cost saving justifies.
### Zone 2: Public areas — lobby, restaurant, meeting rooms
Here the brief is glare, solar heat and appearance, and the shading is part of the interior design rather than a functional afterthought.
- Solar screen roller shades with a defined openness factor are the workhorse. Choose openness by orientation: tighter on west-facing glazing for glare, more open where the view is the asset.
- Colour strategy: dark interior face preserves view clarity and cuts glare; a reflective exterior face rejects heat. A fabric with both is the professional compromise.
- Motorisation and grouping matter more here than in guest rooms. A restaurant's west wall should respond as one; staggered movement across a bank of windows looks cheap.
- Meeting rooms need two layers — glare control for screens, blackout for projection. Specify both from the start; retrofitting blackout into a finished meeting room is expensive.
- Height and access drive motorisation: atrium and double-height glazing cannot be operated manually, and cleaning access needs to be considered before installation, not after.
### Zone 3: Back-of-house and circulation
Function only. Wipe-clean surfaces, robust hardware, cheap to replace.
- PVC vertical or aluminium venetian blinds in kitchens, offices and service corridors — they tolerate grease and cleaning chemicals.
- Avoid fabric anywhere near food preparation.
- Component-level replaceability is the deciding factor: a damaged vertical louvre should be a two-minute swap from a stock box, not a service call.
### The two requirements that cross all zones
#### Fire compliance
Every fabric in a hospitality setting is subject to flame-retardant requirements, and which standard applies depends on the market:

Three practical rules: inherent FR beats treated FR in a building that launders textiles on a cycle; the blackout lining needs its own certificate — a compliant face fabric with an uncertified lining is a non-compliant assembly; and the certificate must name the exact fabric and colourway being supplied, not the range.
#### Housekeeping and maintenance
The treatment that survives is the one housekeeping can clean without damaging.
- Specify the cleaning method with the product, and put it in the housekeeping manual. Most cellular and blackout-coated fabrics are destroyed by wet cleaning.
- Stock spares at handover — clutches, carriers, remotes, end caps, and fabric from the same dye batch. Sourcing a matching fabric three years later is often impossible; buying twenty metres extra with the original order costs almost nothing.
- Design for component replacement. Side channels that must be unscrewed from the wall to change a fabric turn a ten-minute job into a room out of service for a day.
- Cycle count drives life. A guest-room blind operated four times daily accumulates cycles quickly — specify mechanism duty rating against realistic hotel use, not residential averages.
### Cost: the calculation that matters
Per-square-metre price is the wrong comparison. The number that matters is cost per room over the refurbishment cycle, which includes:
1. Product and installation
2. Spares held and consumed
3. Housekeeping damage and replacement rate
4. Rooms out of service during repairs
5. Whether the fabric can still be matched at year five
A cheaper blind that puts a room out of service twice in five years is more expensive than a good one, and the cost lands in revenue rather than in the FF&E budget — which is why it usually goes unnoticed until the next refurbishment.
Standardisation is the biggest lever. One roller system across all guest rooms, in one or two fabric references, means one spares kit, one housekeeping instruction and one repair procedure. Variety in guest rooms buys almost nothing and costs continuously.
### What to ask any supplier
1. "Is this quoted as a blackout fabric or a blackout system with channels and cassette?"
2. "Which FR standard, part and type — and does the certificate cover this exact fabric and colourway?"
3. "Is the blackout lining separately certified?"
4. "What is the mechanism's rated cycle count, and what is the expected life at four operations per day?"
5. "How is a damaged fabric replaced with side channels fitted, and how long is the room out of service?"
6. "What spares do you recommend at handover, and will this fabric and dye lot be available in five years?"
7. "For motorised units: what is the manual override, and does it work if the building network is down?"
8. "Can you supply the same hardware platform across guest rooms and public areas?"
### Frequently asked questions
Do we need blackout in every guest room? Yes, if the hotel wants to avoid sleep complaints. It is one of the few specification items that maps directly onto guest satisfaction scores, and the cost difference between a leaking blackout and a sealed one is small relative to a bad review pattern.
Motorised or manual in guest rooms? Manual cordless is adequate and cheaper for standard rooms. Motorisation earns its place in suites, in rooms with high or wide glazing, and where the brand promises a technology experience. Whatever the choice, the manual override and the control's discoverability in a dark room matter more than the feature list.
Can we use residential products to save money? The failure shows up in cycle count and in fire compliance. Residential mechanisms are not rated for hotel use, and residential fabrics frequently lack the contract FR certification the project will be asked to evidence.
Who is responsible for FR documentation at handover? Commercially, whoever places the goods on the market. Practically, require the certificates before shipment and file them in the O&M pack — retrieving them from an overseas supplier after handover is difficult and sometimes impossible.
How far in advance should window treatments be specified? Early enough to influence the reveal detail. Whether the architecture provides a recess deep enough for channels and a cassette determines whether true blackout is achievable at all — and that decision is made long before FF&E procurement usually engages.
